Program Coordinator Position Descriptions

Program Coordinators (PCs) are student-facing roles within Residence Life. Program Coordinators support the residential experience at UVA, and are directly supervised by an assistant dean.

Responsibilities

  • Mentoring, training, and/or supervising student staff and student leaders.
  • Helping students solve problems and respond appropriately to challenges and crises.
  • Creating and maintain positive professional relationships within the department and across the University.
  • Participating in an on-call rotation.

 

Additional duties and responsibilities vary, depending on the position's focus:

Program Coordinator for Case Management
  • Alongside the assistant dean, review all documented incidents from resident staff members and university police to create cases.
  • Assign cases to professional staff members within Housing and Residence Life for care and support.
  • Contribute to establishing case management strategies that focuses on student care and support for residents to thrive in meaningful ways.
  • Work with the assistant dean to assess needs, develop outcomes, implement learning opportunities, and evaluate case management initiatives.
  • Monitor and record our Housing & Residence Life response team data.
  • Supervise and advise our student leadership team to advise the Resident Staff Accountability Council and other assigned processes.
  • Oversee the Greeters Program, a volunteer initiative that recruits and organizes students, staff, faculty, and alumni to assist first-year students and their families on first-year move-in days, creating a welcoming and supportive experience as they transition to Grounds.
Program Coordinator for Residential Engagement
  • Supervise and advise the student vice chair overseeing the resident staff promotions process, review the process in partnership with that vice chair to maintain consistency, quality, and alignment with program priorities.
  • Coordinate signature HRL events such as the Last Lecture Series and Professors’ Picks programs.
  • Provide strategic vision and advising support in collaboration with student leaders to strengthen and reestablish an effective UVA NRHH chapter.
  • Oversee the Residential Leadership Experience (RLE) on Grounds, guiding and supporting student leaders to foster self-governance and effective leadership practices.
  • Work with the assistant dean to assess needs, develop outcomes, implement learning opportunities, and evaluate program initiatives for successful learning and student engagement.
Program Coordinator for Training and Selections
  • Supervise and advise two student vice chairs overseeing resident staff training and selections, review those processes in partnership with the vice chairs to maintain consistency, quality, and alignment with program priorities.
  • Administer all training programs in Canvas (LMS), serve as the central point of expertise for Canvas-based training delivery.
  • Review and document all resident staff training attendance and completion.
  • Work with the assistant dean to assess needs, develop outcomes, implement learning opportunities, and evaluate training and selections initiatives.
  • Review and oversee RA selection activities in collaboration with the vice chair to ensure compliance with applicable laws and University and HR policies.
  • Oversee both on-Grounds room reservation processes and general catering orders on behalf of HRL, ensuring proper use, coordination, and compliance with University policies.
  • Partner closely with UVA Dine to manage catering orders and bulk cafeteria requests for training, as well as administering the Dome Room Dinner event series.

Qualifications

All Program Coordinators
  • A Bachelor's degree and minimum of two years of experience are required. A master's degree or equivalent in Counseling, Higher Education, Student Affairs Administration, or other related field is preferred.
  • Demonstrated interpersonal skills and ability to work collaboratively and interact effectively with students, faculty, staff, and team members.
  • Experience managing a budget or reconciling financials, with making data-driven decisions, and in being on call within a housing and residence life setting is preferred.
